ViaCRM (“we”, “our” or “us”) is a product of SushiVid Sdn Bhd (201501036756 / 1162077-X). We take your privacy seriously. This Privacy Policy explains what personal data we collect through viacrm.io and the ViaCRM platform, and how we use, store and protect it.

Information We Collect

We collect only the information needed to run our website and the ViaCRM platform:

Website Visitors

Pages viewed and visits, collected through cookies and similar technologies, mostly in aggregated or statistical form
Details you send us when you contact us, such as your name, email address or WhatsApp number

Agency and Client Data

Company name, contact information and account details
Campaign information, approvals and feedback

Influencer Data

Profile information, including rates, location and past campaigns
Communications sent through the integrated WhatsApp system
Publicly available social media information and performance data (with influencer consent)

Payment Information

Bank or payout details needed to pay influencers through Airwallex
Billing details for customer subscriptions

We do not collect or access personal data beyond what is necessary for the website and platform to work.

How We Use Your Information

We use your data to:

Provide and operate the ViaCRM platform
Manage campaigns, influencers and communications
Generate reports and analytics
Process influencer payouts and subscription billing
Show influencers' publicly available social media information to prospective clients (with influencer consent)
Respond to your enquiries and, if you agree, send product updates; you can opt out at any time

We do not use your data for third-party advertising without your explicit consent.

Our Use of Cookies

Cookies are small text files placed on your device to collect standard internet log information and visitor behaviour. We use them to understand how our website is used and to compile statistical reports. You can set your browser to refuse cookies, though some parts of the website may not work properly without them.

ViaCRM and SushiVid

ViaCRM is built by SushiVid Sdn Bhd, but the two platforms are kept separate:

ViaCRM data is encrypted and stored on AWS, in an account separate from SushiVid's
SushiVid staff cannot see ViaCRM customers' clients, rates, influencer contacts or campaigns, including for support
Data flows one way only: SushiVid's influencer database can be added to ViaCRM, but nothing in ViaCRM is sent back to SushiVid unless you ask for it

Data Storage and Security

We take the security of your data seriously:

Encrypted storage: all data is encrypted and stored on AWS cloud servers
Access control: only authorised people in your organisation can access your account data
Audit trails: activity within the platform is logged for accountability
Regular backups: data is backed up to prevent loss

While we use industry-standard security measures, no system is 100% secure.

Influencer Communications

Influencer communications take place through WhatsApp integrated into ViaCRM
Conversations are securely recorded and stored within the platform
AI agents may assist with replies, but only use information within ViaCRM

Data Retention

Customer data stays available for 2 months after a subscription ends (or longer if agreed in a quotation), and can be exported at any time. It is then permanently deleted.
Payment and billing records are kept for as long as required for audit and tax purposes.
Influencer funds left unclaimed for 7 years are reported to the Registrar of Unclaimed Moneys under Malaysia's Unclaimed Moneys Act 1965, together with the identifying details we hold.

Your Rights and Control

Agencies control who can access their campaign and influencer data
Clients see only what you choose to share: drafts, proposals, reports and postings
Influencers manage their own profile and financial information
Influencers who connect their social media accounts agree to ViaCRM showing their publicly available social media information to prospective clients
You can ask for a copy of the personal data we hold about you, or ask us to correct or delete it, by emailing wen@viacrm.io

Compliance

We handle personal data in line with Malaysia's Personal Data Protection Act 2010 (PDPA)
Customers are responsible for obtaining any consents needed from the influencers and other people whose data they add to ViaCRM
We provide tools to help you manage data securely and transparently

Links to Other Websites

Our website may link to other websites. This Privacy Policy covers only ViaCRM; please read the privacy policies of any other websites you visit.

Sale of Business

If ViaCRM or SushiVid's business is sold or integrated with another business, your details may be disclosed to our advisers and any prospective purchasers and their advisers, and passed on to the new owners.

Changes to This Policy

We review this Privacy Policy regularly. When we make changes, we will update the effective date at the top of this page. Please check it from time to time.
